Harry Chapin Food Bank of Southwest Florida, Inc. (“HCFB,” “we,” “us,” or “our”) respects the privacy of the people who support our mission, seek our services, volunteer with us, work with us, or otherwise interact with us.
This Privacy Policy explains how we collect, use, disclose, and protect personal information through harrychapinfoodbank.org and other HCFB websites, forms, donation pages, and online features that link to this Policy (collectively, the “Services”).
This Policy does not govern a third-party website or service that publishes its own privacy notice. When an HCFB page links or redirects you to another organization or technology provider — for example, our donation platform, our volunteer-registration partners, or an embedded video — that provider’s own privacy notice applies to what you do there.
Information We Collect
The information we collect depends on how you interact with HCFB and may include:
- Contact and identity information, such as your name, postal address, email address, telephone number, and communication preferences.
- Donation and transaction information, such as gift amount, date, designation, campaign, tribute or memorial information, transaction identifiers, and limited payment details provided to us by our payment processor.
- Donor relationship information, such as giving history, event participation, interests, recognition and anonymity preferences, requests, comments, and interactions with HCFB.
- Location information you choose to provide, such as a ZIP code or address entered to search for nearby food-assistance programs or mobile distributions.
- Volunteer, event, partner, and community-engagement information you provide when registering through our volunteer-management partners or signing up for an event.
- Food-drive hosting information, such as contact details you provide by email to host or join a food drive, and any completed-drive details you choose to submit through an external Microsoft Form after your drive.
- Communications and content, such as messages, inquiries, and requests you submit through our Contact Us form or by email or phone, and records of our correspondence.
- Standard technical information collected automatically when you visit our Services, such as your Internet Protocol address, browser and device type, operating system, referring page, and the date and time of access.
Information provided solely to request food assistance will not be used to solicit a donation unless you separately request fundraising communications or otherwise consent to that use.
How We Collect Information
We may collect information:
- Directly from you when you donate, register, contact us, request assistance, volunteer, participate in an event, or otherwise provide information.
- Automatically through standard web server logs, and through cookies or similar technologies used by an embedded third-party service (such as our donation platform or an embedded video) on the specific page where that service appears.
- From service providers and platforms that process transactions, forms, or communications on our behalf.
- From publicly available sources, community partners, event partners, or another person when permitted by law and appropriate to the relationship.
How We Use Information
HCFB may use personal information to:
- Process, acknowledge, administer, provide receipts for, and report donations and other transactions.
- Manage donor relationships, preferences, stewardship, recognition, memorial or tribute gifts, and requests for anonymity.
- Provide information about food programs, services, events, volunteering, advocacy, fundraising campaigns, and HCFB’s mission.
- Respond to inquiries, service requests, comments, complaints, and accessibility needs.
- Administer and troubleshoot the Services.
- Register and communicate with volunteers, event participants, partners, and community members.
- Operate, maintain, secure, measure, debug, and improve our Services and communications.
- Prevent fraud, protect people and systems, enforce applicable terms, and satisfy legal, tax, accounting, audit, contractual, and regulatory obligations.
- Create aggregated or deidentified information that does not reasonably identify an individual.
Donations and Payment Processing
HCFB uses Blackbaud’s donation-processing platform to support online giving on this website. Payment card numbers, bank-account numbers, security codes, and similar payment credentials are submitted directly to and processed by Blackbaud within its own secure, embedded donation form — HCFB does not receive or retain complete payment card numbers, security codes, or online-banking credentials.
HCFB may receive limited transaction information from Blackbaud, including contact and billing details, gift amount, transaction identifier, and a masked payment reference (for example, the last four digits of a card). Blackbaud’s own privacy policy and terms apply to information submitted directly within that donation form.
If HCFB begins using an additional or different payment processor in the future, this Policy will be updated to reflect that.
How We Disclose Information
HCFB does not sell or rent donor names, donor contact information, or giving histories. We do not disclose donor information to unrelated organizations for their own fundraising or marketing without the donor’s permission.
We may disclose personal information:
- To authorized service providers that perform work for HCFB, such as donation and payment processing, contact-form processing, website hosting, cybersecurity, printing and mailing, and data storage.
- To authorized HCFB staff, board members, volunteers, and consultants who need the information to perform approved duties and are expected to protect it appropriately.
- To a platform or organization you intentionally use or direct us to interact with, such as a volunteer-registration platform or a community partner.
- To comply with law, legal process, audit requirements, or lawful government requests; enforce agreements; or protect the rights, safety, and security of HCFB, our community, or others.
- In connection with an organizational restructuring or transfer, subject to appropriate protections and applicable law.
- With your consent or at your direction.
Service providers are authorized to use personal information only for the services they provide to HCFB or as otherwise permitted by their agreements and applicable law.
Donor Privacy and Preferences
HCFB limits access to donor information and uses it to administer gifts, understand donor interests, communicate about our mission, and support responsible stewardship.
HCFB may recognize donors in reports, event materials, displays, or other communications when appropriate and consistent with the donor’s preferences. Donors may request anonymity or ask not to be publicly recognized by contacting us. We will make reasonable efforts to apply the preference to future recognition materials and communications.
Donors may also ask to reduce or stop fundraising mail, email, or telephone calls. We may still send necessary administrative communications, including gift receipts, security notices, and responses to requests.
Cookies and Similar Technologies
As of our most recent review, HCFB does not deploy its own analytics or advertising cookies on this website. Essential, session-based cookies may still be used to support authenticated features, such as staff and authorized reviewer sign-in — these are not set for general public visitors simply browsing the site.
Some pages embed or link to a service operated by another organization — including YouTube, and our donation, volunteer-registration, and contact-form providers (Blackbaud, Volgistics, Microsoft Forms, and Constant Contact). Any of these may set or receive their own cookies under their own privacy policies when you interact with that specific feature.
You can manage cookies generally through your browser’s settings; blocking third-party cookies may affect whether an embedded donation form or video displays correctly.
Email, Mail, and Telephone Communications
You may unsubscribe from fundraising or promotional email by using the unsubscribe link in the message or contacting us. You may request changes to your postal-mail or telephone preferences by contacting us.
We may retain limited contact information on a suppression list so that we can honor an opt-out request. Opting out of promotional communications does not prevent necessary transactional, service, security, or legally required communications.
Third-Party Services and Embedded Content
Our Services link to or embed a small number of services operated by other organizations:
- Blackbaud — our donation-processing platform, embedded on our Give page.
- Volgistics — volunteer registration, scheduling, and returning-volunteer login. This is an external destination our Volunteer page links to, not a service we operate ourselves.
- Microsoft Forms — an external, Microsoft-operated service we use for more than one purpose on this website: group volunteer scheduling, and submission of completed Food Drive information after a drive concludes. These are external destinations our Volunteer and Food & Fund Drives pages link to, not services we operate ourselves. Information you submit through a Microsoft Form is subject to Microsoft’s own service and privacy practices, in addition to HCFB’s intended operational use of what you submit.
- YouTube (Google) — hosts the video embedded on our Volunteer page.
- Constant Contact — processes submissions from our Contact Us form.
Map results shown on this website, such as on our Find Food and Mobile Pantries pages, use HCFB and partner location data. Some map features may include external directions links or other map-related resources that have their own privacy practices.
Each organization listed above may collect information directly from you under its own privacy notice when you interact with its specific feature. HCFB is not responsible for the privacy practices of independently operated third-party services.
Data Retention
HCFB retains personal information for as long as reasonably necessary for the purposes described in this Policy, including donor stewardship, service delivery, accounting, tax, audit, legal, fraud-prevention, security, dispute-resolution, and recordkeeping obligations.
Retention periods vary based on the type of information, the relationship, legal requirements, and operational needs. HCFB may retain limited information after an opt-out or deletion request when necessary to honor the request, document compliance, prevent fraud, or meet legal obligations.
Security
HCFB uses reasonable administrative, technical, and physical safeguards designed to protect personal information. These measures may include encrypted connections, access controls, staff practices, service-provider oversight, monitoring, backups, and other protections appropriate to the information and systems involved.
No website, network, transmission, or storage system can be guaranteed to be completely secure. Please do not send payment card numbers, passwords, Social Security numbers, or bank-account credentials through ordinary email or a general contact form.
Your Choices and Privacy Requests
Depending on your relationship with HCFB and where you live, you may be able to ask us to:
- Provide information about personal information we maintain about you.

Children’s Privacy
The general HCFB website is intended for a broad audience and is not directed to children under 13. HCFB does not knowingly collect personal information online directly from a child under 13 through the general website without appropriate authorization.
If we learn that we collected such information in a manner not permitted by law, we will take reasonable steps to delete it.
Visitors Outside the United States
HCFB is based in Florida, and our Services are operated for HCFB’s activities in the United States. If you access the Services from another country, your information may be transferred to, stored in, and processed in the United States, where privacy laws may differ from those in your location.
